Briefing before, Recap after
Get a short briefing before a calendar meeting starts, and a ready-to-send recap when it ends.
Before a calendar meeting, a Brief button on the Control HUD opens what you need to walk in prepared. After a meeting, a Recap button opens a follow-up email already filled in. Nothing pops up on its own — you click when you're ready.
Turn on briefings
- Open promptpov Settings → Calendar.
- Turn on Pre-meeting briefing. macOS asks for calendar access the first time.
- Pick a Lead time: 5, 10, 15 or 20 minutes before the start.
- Optional: turn on Auto-draft briefing with AI (see below).
Briefings are offered for calendar events with a meeting link (Zoom, Teams, Google Meet, Webex, FaceTime and others) or whose location says Microsoft Teams. See Calendar connection if a meeting isn't picked up.
Open a briefing
When the lead time arrives, the Brief button (a calendar with a clock) appears on the Control HUD. Click it, or use Pre-meeting briefing in the promptpov menu in your menu bar. If two meetings overlap, you choose which one. The header counts down — IN 5 MIN, then NOW at the start — and you can reopen the briefing as often as you like until the meeting starts.
What's in a briefing
The plain briefing shows facts from the invite:
- who's attending, and how often you've met — "Met 4 times. Last meeting: 1 week ago." or "First-time meeting with this group."
- a Join button for the meeting app (Join Zoom →, Join Teams → and so on)
- the invite's notes, word for word, and buttons for links found in them
- what's next on your calendar, and whether it's back-to-back
The AI briefing is a short summary: what the meeting is about, who's attending, what to be ready for, and questions you might ask. For a recurring meeting, with Save meeting history on in Settings → Privacy, it also draws on earlier occurrences — what was discussed and which action items are still open — and lists them under Previously discussed. Items you've since marked done in the Notebook drop out.
When the AI briefing finishes, it's handed to your AI Assistant with suggested follow-up questions. Click Ask follow-up → to close the briefing and continue there.
Close or dismiss
- × (or ⌘W) closes the window; the Brief button stays.
- Right-click Brief → Dismiss briefing (or Dismiss all briefings) removes it.
- The briefing closes when the meeting starts — unless you opened the meeting with Join; then it stays until the meeting ends.
- ⋯ → Clear history for this meeting starts a recurring meeting's history fresh. This can't be undone.
The Recap
When a meeting ends, a Recap button appears on the Control HUD for 30 minutes. Ad-hoc calls get one too, if the call ran at least a minute and something was said, or ran 30 minutes or more.
- A spinner means the end of the meeting is still being summarized. Click to open what's ready.
- A green dot means new content has arrived.
- Right-click for Open recap now or Dismiss recap, or use Recap last meeting in the promptpov menu.
A recap opens once: after you open it (or after 30 minutes), the button goes away. The meeting's items stay in the Notebook. To stop recaps, turn off Post-meeting wrap-up in Settings → Calendar.
What's in the Recap
An email draft you can edit: a greeting, then Discussed (the meeting's topics), Decisions, Action items and Open questions. Items you dismissed or marked done are left out. If nothing was captured, it's a short thank-you note.
- Draft from transcript → — AI writes the follow-up from the full transcript. It appears when transcription is on and turns on once the transcript is ready; a progress bar shows the wait.
- Polish with AI → — rewrites what's in the box into a clean email.
- Any context to add? — a hint for either, such as "focus on decisions".
- Revert — undoes the last AI rewrite (⌘Z works too).
- Send to attendees → — opens the email in your mail app with attendees and the subject "Follow-up: meeting name" filled in. For Outlook on the web or the clipboard, change Send wrap-ups via: in Settings → Calendar.
- Retry with Small — appears if transcribing the meeting failed; tries again with a smaller, faster model.
If a call wasn't really a meeting, click This wasn't a meeting at the bottom so its items don't carry into your other meetings.
AI, plans and privacy
- Briefings are part of Pro. Recap isn't limited by plan, but what fills it depends on transcription and AI — see Transcription.
- The AI briefing, Draft from transcript → and Polish with AI → use on-device AI when Use on-device AI (Pro Privacy) is on in Settings → AI — your meeting stays on your Mac, never switching to the cloud. Otherwise they use your own Anthropic or OpenAI key from Settings → API Keys, and the invite or transcript is sent to that provider.
- With Auto-draft briefing with AI off, you get the plain briefing. The recap's first draft is built from your Notebook with no extra AI step.
