Connect your calendar

Let promptpov read your calendar so it knows which meeting you're in, when it ends, and where its notes belong.

promptpov works without a calendar, but it works better with one. When it can read your calendar, it knows which meeting you're in, so it can:

  • count down to the meeting's scheduled end on the Hard Stop card,
  • offer a Brief before the meeting starts,
  • file action items, decisions and questions under the right meeting in your Notebook,
  • connect the meetings of a recurring series, so you can see what keeps coming back from one week to the next.

promptpov reads your calendar on your Mac. Nothing is added to or changed in your calendar.

Turn it on

The setup window offers Connect Calendar when you first install promptpov — that does all of this for Apple Calendar. To do it later or change it:

  1. Open Settings and choose Calendar.
  2. Next to Source, pick Apple Calendar or Outlook (see below).
  3. Turn on Pre-meeting briefing. This setting also turns on promptpov's use of your calendar — while it's off, promptpov doesn't read your calendar at all, even for the Hard Stop and the Notebook.
  4. If you picked Apple Calendar, macOS asks whether promptpov may access your calendars. Click Allow.

Missed the macOS prompt, or clicked Don't Allow? Click Open Calendar privacy settings → in the same pane and turn on promptpov under Calendars.

Apple Calendar or Outlook?

Apple Calendar reads every calendar your Mac knows about: iCloud, plus any Google, Exchange or Microsoft 365 account you've added in System Settings → Internet Accounts or in the Calendar app. For most people this is the right choice and needs no sign-in.

Outlook connects straight to Microsoft 365 or Outlook.com. Use it if your work calendar isn't in the Calendar app on your Mac.

  1. Next to Source, pick Outlook.
  2. Click Connect Outlook. A Microsoft sign-in window opens — sign in with your work or personal Microsoft account and approve access.
  3. The pane shows Connected as and your email address. To sign out, click Disconnect.

promptpov only asks Microsoft to read your calendar and basic profile. Pre-meeting briefing must still be on, as above.

Work and school Microsoft 365 accounts

Many organizations only let an app read Microsoft 365 data after IT has approved it. If Connect Outlook shows Need admin approval, or the sign-in fails:

  1. Ask your IT team to approve promptpov (publisher: Requisite Logic LLC, verified) for your organization. Point them to promptpov.com/it — it lists exactly what promptpov asks for: read-only access to your calendar and basic profile.
  2. In the meantime, use Apple Calendar instead: add your work account in System Settings → Internet Accounts (choose Microsoft Exchange), check that its calendar shows in the Calendar app, then pick Apple Calendar as the source. Some organizations block this too — if so, the IT approval is the only way.

Other Calendar settings

  • Lead time — how early before a meeting the Brief appears: 5, 10, 15 or 20 minutes.
  • Auto-draft briefing with AI — have AI write the briefing from the invite. Off by default, because the invite's contents go to your AI provider. See Briefing & Recap.
  • Post-meeting wrap-up — the Recap after each meeting, including unscheduled calls. On by default.
  • Send wrap-ups via — how the Recap's email to attendees is sent: Default mail app (mailto), Outlook on the web or Copy to clipboard.

Briefings are part of Pro.

How promptpov knows you're in a meeting

A meeting starts when promptpov sees one of these:

  • your meeting app turns on the camera,
  • a call app has a live call and is using your microphone,
  • a calendar meeting with a join link is under way and you bring your meeting app to the front — so you don't need your camera on.

The calendar then tells promptpov which meeting it is: its title, end time and attendees. A call that isn't on your calendar is an unscheduled call. It still gets its own entry in the Notebook. Give it a proper name later with ⋯ → Rename… in the Notebook window.

When two meetings overlap

If two calendar meetings are under way at once, promptpov picks the one that matches the meeting app in front, then the one you accepted over one you only marked tentative or declined. If it still can't tell, a Which meeting? card appears in the Cockpit. Click the meeting you're in — notes and items follow your answer. None of these treats it as an unscheduled call. Ignore the card and promptpov keeps its guess (marked ✓).

My meeting wasn't recognized

  • Is the calendar on? Check that Pre-meeting briefing is on and, for Outlook, that the pane says Connected as.
  • Does the event have a join link? promptpov only treats an event as an online meeting if it has a join link from Zoom, Teams, Google Meet, Webex or another meeting service, in the event's link, location or notes. A Teams event in Apple Calendar whose location is just "Microsoft Teams Meeting" also counts. An event with no link is treated as an in-person meeting and skipped.
  • Overlapping Teams meetings? promptpov can match the Teams meeting window's title to the calendar event, but macOS shows window titles only to apps with Screen Recording permission. Turn on promptpov in System Settings → Privacy & Security → Screen Recording.
  • Run the diagnostic. In the promptPOV menu (or the menu bar icon), choose Run Diagnostic… and look at Calendar permission and, for Outlook, Outlook OAuth token. If Calendar permission says Not required (pre-meeting briefing off), the calendar is off.

End a meeting yourself

promptpov notices when a call ends. If it hasn't — say, the meeting window is still open — click … on the Control HUD and choose End meeting now.
