Teach transcription your spellings

Make promptpov write names, products and acronyms your way — and keep similar words as they are.

Transcription sometimes writes a name the way it sounds — "Chris" when your colleague is Kris. Add a spelling once and promptpov writes it your way in the meeting transcript and everything built from it: Notebook items, Topics, briefings and the AI Assistant. (Live captions pick it up only at the start of a meeting for now.)

Add a spelling in Settings

  1. Open Settings → AI and scroll to Spellings.
  2. Click Add a Spelling….
  3. In Write, type the word the way you want it: Kris.
  4. If transcription writes it another way, type that in Instead of: Chris. Leave it empty for a name it has never heard — a client, a product of yours, a project's code name.
  5. In Keep as written, list similar words that must stay as they are — Christine, so it doesn't become "Kristine". Click Suggest to fill in the ones that come up in your own meetings.
  6. Click Save. It applies from the next transcript.

Fix it once from the Notebook

When you correct a single word in a Notebook item — in the Cockpit during a meeting, or in the Notebook window afterwards — promptpov asks, right under the item:

Always spell "Chris" as "Kris"? Yes… Not now Never

Yes… opens the same form, already filled in, with similar words suggested. Check them, and tick Also fix N earlier items to correct the same word in items you already have. Right after saving you can Undo the earlier-item fix.

Why "Keep as written" matters

A spelling tells transcription to prefer your word, and it also pulls on words that sound alike. In our tests, adding "Kris" turned every "Christine" into "Kristine". Listing Christine under Keep as written kept every one of them correct. Short names and acronyms that are part of longer words need this most.

Tips

  • Well-known names don't need a spelling: in our tests transcription already wrote ServiceNow, SharePoint, HubSpot and Salesforce correctly every time. Spellings are for the names it hasn't heard — your colleagues, clients and projects.
  • Edit or remove a spelling any time in Settings → AI → Spellings.
  • The earlier-item fix changes whole words only: "Chris" becomes "Kris", but "Christine" is never touched. A possessive follows its word: "Chris's" becomes "Kris's".
  • Picked Never by mistake? It only stops the question for that word — you can still add the spelling in Settings.

Limits and privacy

  • Spellings guide transcription; they are not a guarantee, especially on noisy audio. The Notebook fix is exact.
  • There is room for roughly 30–50 short words. Settings shows how much is used and marks any spelling that doesn't fit.
  • Your spellings are stored on your Mac and never leave it.
