Notebook — action items, decisions and questions

Catch what was agreed, decided and asked in each meeting, add your own, and follow up on what's still open.

The Notebook keeps one list per meeting of the action items, decisions and questions that came up. During a call it is a card in your Cockpit that fills in as the meeting is transcribed; after the call, the Notebook window lets you look back at any meeting and follow up on what's still open.

Turn it on

  1. On your dashboard at promptpov.com, click Enable on Notebook (under Workspaces).
  2. In promptpov Settings → General, turn on Transcribe my voice during meetings.
  3. For items to fill in by themselves, promptpov needs an AI: turn on Use on-device AI (Pro Privacy) in Settings → AI, or add your own Anthropic or OpenAI key in Settings → API Keys.

During a meeting

Items appear every few minutes as the meeting is transcribed, newest first, each marked 📋 action, 🎯 decision or ❓ question. Hover a row to see the part of the conversation it came from.

  • Filter: click All, Actions, Decisions or Questions.
  • Add your own: type in the box at the bottom and press Return. It becomes whatever kind the filter shows (an action under All).
  • Mark done: click the checkbox on an action item.
  • Edit: click the pencil, fix the wording. If you corrected one word, promptpov offers to remember that spelling — see Spellings.
  • Pin: click the pin to keep a row at the top.
  • Show on your video: the arrow button puts the item on your outgoing video as a callout; the signpost shows it full-screen as a sign. Click again to take it down.
  • Hide: click ×. Restore dismissed brings hidden rows back. Option-click × to delete a row for good.

Below the list:

  • Copy N items copies this meeting's items, as shown, with the meeting title — ready to paste into an email or doc.
  • Edit N items in Callout… opens the open items you're viewing in the Callout Composer as a list, one per line. Delete the ones you don't want, fix the wording, then Show on Video. See Callouts.

In a recurring meeting you may also see Raised again here (open items from earlier meetings that came up again today) and, near the end, Before you go — items from last time that haven't come up yet.

Slash commands

Type these in the Notebook box (or the AI Assistant box) and press Return. Type / alone to see the list.

  • /action send Dana the breakdown — add an action item
  • /question … — add a question
  • /decision … — add a decision
  • /sign back in 5 — show a full-tile sign on your video (up to 28 characters)
  • /sign off — take the sign down

Filler questions

"Can everyone hear me?" isn't worth keeping, so promptpov skips questions that only keep the meeting moving. If it kept one anyway, right-click its × and choose Filler — don't keep questions like this. If it skipped one you wanted, open the meeting in the Notebook window, expand Hidden as filler and click Keep — that wording won't be hidden again.

The Notebook window

Open it any time from the promptpov menu in your menu bar → Cockpit → Show Notebook, or press ⌃⌥⌘N.

  1. Choose Meetings at the top.
  2. Pick a meeting from the list, or type in Find a meeting to narrow it down; press Return to open the list.
  3. Mark items done, edit them, or remove them, just as in the Cockpit.
  4. Click Copy to copy the meeting's items and its Topics.

With Save meeting history on (Settings → Privacy) and on-device AI, a meeting can also show:

  • Topics — a summary of what was discussed, written on your Mac when it's idle. Possibly missed lists action items or questions the summary mentions that aren't in your list: Add or Dismiss each.
  • This recurring meeting — for a meeting series, a summary of what keeps coming back and what was decided across its recent meetings.

Meeting options

Click the ⋯ button (Meeting options) next to the meeting list:

  • Rename… — give an unscheduled call a proper name (calendar meetings keep their calendar title). promptpov may also suggest a name: click Use or Dismiss.
  • This wasn't a meeting — for a test call or a quick chat with yourself. Its items leave Open loops and meeting history; nothing is deleted, and This was a meeting brings them back.
  • Delete Meeting… — removes the meeting's items, transcript and history from your Mac. This can't be undone, and isn't available while the meeting is in progress.

Open loops

Choose Open loops at the top of the window to see every action item still open, across all your meetings.

  • Needs a look — items that were probably done (with the quote that says so), and items that may belong together. Nothing changes until you answer Done, Still open, Belongs, Not related or Same task.
  • Threads — items you've connected across meetings.
  • Open by meeting — everything else, grouped by meeting.
  • Not mentioned in 14+ days — tucked away, not deleted. Still open restarts the 14-day clock.

You can get here from the Cockpit too: click Open loops › under the list.

Privacy

  • Transcription runs on your Mac, and your Notebook items, Topics and meeting history are stored on your Mac.
  • With on-device AI on, items are found on your Mac and nothing is sent to a cloud AI. With your own API key instead, parts of the transcript are sent to that provider (Anthropic or OpenAI) to find items.

Plans

The Notebook is part of Pro, along with Topics, the recurring-meeting summary and on-device AI.
